The eSignature Sync function allows the seamless transfer of eSignature documents between InsuredMine and Applied Epic. You have the flexibility to choose between automatic or manual synchronization according to your preference. Opting for automatic sync ensures that your eSign documents from IM are effortlessly transferred to Epic without requiring any manual intervention.

Use Case: Esign Sync makes it easy to move your eSignature documents between InsuredMine and Applied Epic, allowing customers to enjoy the efficiency of a paperless filing process from start to finish. 

To View the Enhancement:

In the configuration settings, the initial step is to select whether you want eSign to sync from InsuredMine to Applied Epic automatically or manually.

• If you’ve opted for automatic sync, the process will occur seamlessly without manual intervention.

For manual settings:

To View the Enhancement:

• Navigate to the eSignature module.
• Choose any eSign document from the list.
• Click on the Sync button located on the right.

• Upon syncing, the eSign document can be accessed from the Applied Epic ‘Activities’ section within the account, categorized under “open” or “closed” status.
• Scroll to the bottom to find the file link of the eSign document.

• Copy and paste the link into a new browser tab to view the eSign document.

Description: Agents can include the policy number when sending documents for eSignature.

Benefit: Agents can track which policies are associated with the documents sent for eSignature.

Navigation –

• Navigate to the eSignature module. Click on Sign Document.
• Select a file. Click on Next.

 

• Add signers. Click on Next.

• Place fields where they are required. Click on Next.

• From the drop-down menu, choose the Policy number. Scroll down to select Send.

 

Note: The policies visible in the drop-down are the ones that have already been added to the corresponding contact sent for eSignature.

 

• You can track the documents sent for an eSign policy once the file has been sent for eSignature.

• Sign in to the AMS portal. Open the contact to whom the eSignature documents were sent.

• Go to the Activity section to view the eSign document

Application – Clients no longer have to fill in the signing date manually, eliminating clerical errors and discrepancies and improving efficiency.

Process:

• Navigate to eSignature and click on Sign Document 
• Drag and drop the Sign Date into the document and proceed to follow the steps, and share it with the client for signing

• When the recipient opens the document to sign, InsuredMine auto-populates the date field to the current date.

Description – This will allow the agents to send the copy of the eSign document to others apart from the recipient, However apart from the recipients the others cannot sign the document, They can just see the document.

Navigation – 

• Navigate to eSignature module
• Upload the document for eSignature
• Select the recipient 
• Add signature field

• When we will go to the send page their we will get an option to add CC
• After adding email address just click on add email address and then click send

• Once the document has been sent the user will receive an email stating that they have been added to the signature request.
• Once the recipient will sign the doc the user which has been added as CC will receive the final complete document mail in which the signed document will be there.

Use case – Easier for customers to notify the agent of errors and request for modification or if the client is unwilling to proceed to sign the document.

Process: 

• Navigate to the eSignature module.
• Click on Sign Document.

• Add the document and click on Send. 

• An email will be sent to the given email address.

• Click on the Review and Sign.
• In the document, the signee will find the option to Decline.
• Click on Decline.

• This action will bring up a window. Enter the Reason for declining and click on Decline.

• Select Timeline to see the status of the document. 
• The status will appear as Declined.

• Click on the Refresh button to view the Status of the eSignature.

Note:

• Once declined, the same link cannot be reused for eSignature.
• You would be required to resend the eSignature document to the customer.

Benefit – Agents can now sign and share documents that don’t necessarily need signatures from customers, such as benefits, guidelines, etc.

Process:

• Navigate to the eSignature module
• Click on Sign Document and upload the PDF.

• Select the checkbox “I’m the only signer” for documents that do not require eSign from the customer’s end.

• Selecting this option will remove the option to add Recipient details from the screen.
• Click on Next.

• Once you sign the document, click on Next. 

• You may either download the signed document offline into your PC and/or send it as an email to the client or others.

Description- In the eSignature, account360, contact360, and pipeline modules, we can now rename the documents sent for eSignature.

 

Navigation-

 

• Navigate to eSignature. 

Select a document and click on the three dots in the Action column.

• Choose the Rename document title option

• Enter the new name in the pop-up window and click Update.

• Once done, a success message will appear on the screen.

Navigation :

• Navigate to the Settings module. Click on the Restrictions section.
• Scroll down to the Agent Account restrictions.
• Scroll to the left to view the eSign Delete column.
• Toggle the button to the agent you want to restrict the delete option in the eSignature module.

Description: The archived eSign documents are moved to the archived list. Downloads of the archived list are also available.

Benefit: Viewing the archived documents easily will help avoid missing the deleted documents.  Any deleted mail can be found in the archive list.

Navigation: 

• Navigate to the eSignature module.
• Click the three dots in the upper right corner. Click on the Archived Lists.

To view the enhancement:

• Navigate to eSignature and add the document
• Click Next
• Type the name
• You will get the option to add a new contact along with any existing contact suggestions
• Click on Add as new contact
• Put an email id or phone number.
• Click on Add

Now move to contacts in the contact list you will find the new contact created from the eSignature module.

Note: If you won’t select Create Contact from the drop down then there won’t be any new contact created and the file will be just sent for signature.
