We have introduced a new enhancement in the Accounts, Contacts, and Policies modules. A new Agency Filter has been added in the Filter section, allowing users to filter records based on the preferred agency.

Users can select one or multiple agencies to quickly narrow down the displayed data.

Use Case: This enhancement helps users easily view and manage data agency-wise across Accounts, Contacts, and Policies. 

It improves data visibility, makes filtering faster, and helps users focus only on records relevant to the selected agency for better analysis and management.

Note: This feature is available only for Epic Agency.

To view the Enhancement in Accounts:

• Navigate to Accounts.
• Click on the Filter icon.

• A Filter panel appears on the right-hand  side.
• As shown below, a new option, Agency Filter has been added.
• Check the box to select the preferred agency.
• Click Apply.

Note: You also have the option to Select All from the dropdown.

• As shown below, the account names are displayed based on the selected agency.

Note: To view the enhancement in Contacts and Policies and see the results, follow the same steps as mentioned above for Accounts.

We have introduced a new enhancement in the Accounts, Contacts, and Policies sections. A new AMS Filter is now available, allowing users to filter data by AMS360 Synced, Not Synced, Sync In Progress, and Sync Failed statuses. This enhancement provides better visibility and clarity into the AMS sync status of each account, contact, and policy.

Use Case: This AMS Filter helps users promptly troubleshoot issues, avoid data inconsistencies, save time, and ensure accurate synchronization between InsuredMine and AMS360. It reduces manual checking and improves overall data management efficiency.

Note: This feature is available for AMS360, NowCerts, and Epic.

To view the enhancement:

• Navigate to Accounts.
• As shown below, click the Filter icon.

• The Filter panel appears.
• As shown below, a new AMS Filter option is available with the following statuses:
  
  • AMS360
  • Not Synced
  • Sync In Progress
  • Sync Failed

How to apply the filter:

• Select AMS360 Synced.
• Click Apply.

• As shown below, all accounts with the AMS360 Synced status are displayed.

Note: After selecting an option from the dropdown and clicking Apply, the system displays the filtered results accordingly.

Note: The AMS Filter is available in the Contacts and Policies sections with the same options and usage as the Accounts section.

 Now easily manage dependents in Account 360 by adding them as contacts. The “Add as a Contact” option within dependents simplifies the process, without a prior contact setup.

Note: This dependents feature within Account 360 is only available for AMS360 users.

• Navigate to the accounts module.
• Click on any  account to access its comprehensive account 360 details.
• On the Account 360 page, go to the ‘Dependants’ tab.
• Choose a dependent and click on its action button.
• Select ‘Add as a Contact.’

• The required data for adding a contact will be automatically filled in to complete the details.
• Click on Save.

• You will then get a success notification: Contact added!
• Now within contacts will be able to view the dependent as a contact within the account.

• If sync is automatic, click the refresh option to automatically sync the contacts with the AMS 360.

• But if the sync is manual then click “Sync,” then choose “Sync with AMS” in the minimized window to manually synchronize contacts with AMS 360.

Process:

Note – the loss date data point is marked in the pipeline, accounts, and policies modules.

For pipelines

• Navigate to the pipeline module. Click on a deal card for an extended view.
• View the claim loss date on the left side of the window.

For policies

• Navigate to the policies module. Click on a policy for an extended view. Go to the claims tab. The first column is the loss date datapoint.

For accounts

• Navigate to the accounts module. Click on a count to go to account 360. Go to the claims tab. The first column is the loss date datapoint.

Benefit: Convenience in viewing claims associated with an account.

Navigation – 

• Navigate to the account module.

• Click on an account to go to account 360.
• Navigate to the claim tab.  All the claims related to that account will be visible.

Note-  You can view the claim tab in the policies module.

Note – Additionally, a deal card can be created in the claim tab\’s action section.

• If you click on the Duplicates Found tab, the list of duplicate records will be visible.

• You can select a few of those details and can merge them if required.

• Similarly, if you navigate to deal cards and open a deal card, under Linked Contacts, you will find the duplicate record.

• Additionally, even if you navigate to Accounts and click on contacts under Account 360, you will find the duplicate record details.

Description: When adding notes, we have the choice of adding a note to mapped contacts, policies, or accounts. The note will be connected to that contact, policy, or account if we choose this option.

 

Benefit: Assigning notes for a specific contact and policy is simple. 

 

Navigation – 

 

For Accounts 

Navigate to the account module. Select the account to go to account 360.

 

• Go to the notes section and select Add Note.

 

 

• Select policy by clicking the arrow button, and select a contact from the drop-down.

• Click on Save.

For Contact

• Navigate to the contact module. Click on a contact to go to Contact 360.

• Go to the notes section and click on add note.

• Select a policy by clicking the drop-down.

• Click on Save.

 

 

For policies

• Navigate to the policy module, click on a policy to go to an extended view

• Go to the notes section and click on add note.

• Select contacts by clicking on the drop-down.

• Click on Save.

• Adding notes from Account 360 and selecting a contact or policy will map the same note to that contact or policy. Similarly to this, notes added to policies will also be added to contacts, and contacts’ module notes will reflect the selected policy.

 

• If we edit the note from the Contact, the changes will also be reflected in the mapped policy and account notes. Similarly, for notes in the account and Policies modules too.

 

• We also have a delete option that, if used, will also remove any notes that have been mapped to contacts and policies.

In the Policy details, the new  data points getting mapped from HawkSoft to InsuredMine are HS ID, HS Policy ID, Agent 1, 2, and 3, Producers, Status, Status Date, Inception Date, Sold Date and Branch ID.

• A deal card will be created

• Click on the deal card to have an expanded view

• Click to edit the business name

• You will find the email and mobile is mapped to the account

In InsuredMine if you navigate to the contact section under the account360, and select the relation column from the table column the relation that has been mapped from AMS will be reflected in this column.

The relation section will be available in contacts, and accounts.

For NowCerts

While adding a contact whatever you will select in the Type section, will be displayed as Relationship in InsuredMine contact.

For QQ Catalyst:

In QQ Catalyst only the contact present in the Additional Contacts section will have the Relationship section, where they can add “RELATIONSHIP TO PRIMARY” which will be reflected in the Insuredmine.

For Hawksoft:

In Hawksoft portal, Under Client -> Personal, you can see all the Contacts present in the account. Where there is a column “Relationship” which is synced into Insuredmine

For AMS360:

Contact responsibility from AMS360 will be mapped as a Relationship in InsuredMine. In AMS360 more than one responsibility can be assigned for one contact, but in InsuredMine contact can have only one Relationship. Considering this as an edge case, multiple responsibilities for a single contact from AMS360 will be merged into a single (,) separated String. And added as a Relationship at InsuredMine. Below is an image of the contact page in AMS360 where the responsibility of the contact can be added.

Note:  This responsibility field will be available only for the customer contact-based users created in Insuredmine. In simple words Only ams360 contact page synced data will have this data point in Insuredmine. If any contact is created from the CSP(Customer setup page) will not have this data point in Insuredmine

• Select an Account

• Any Account related changes, add or remove will reflect in log tab

Use Case – Instant report to review and share Accounts information

Process –

• Navigate to Accounts and select the Setting option from the top-right corner.
• Click on Download.

• The registered email address will be auto-populated under the Recipient section. You may send the report to multiple email addresses by adding the email address manually under the Additional Recipient field.
• Click on the Download button.

• InsuredMine will send an email to all the listed email addresses with a link to download the report. 

•  Click the Download button in the email to download the excel report into your system.

Note – You can add filters such as Active, Prospect, Inactive, Leads, and Others to download the reports. You can also use the filter icon to filter as per policy count, agent, tags, etc.
