Duplicate Detection Enhancement for Forms

Overview

We have introduced a new enhancement to duplicate validation in Forms when the Do Not Create Duplicate setting is enabled.

With this enhancement, duplicate validation is performed based on the configured deal type (Personal or Commercial). The system can now validate records not only at the Contact but also at the Account levels, ensuring more accurate duplicate detection and account association.

The validation process follows a predefined matching sequence, prioritizes email matching before phone matching, and automatically uses existing records when a match is found. This helps reduce duplicate record creation and improves data accuracy across Contacts and Accounts.

Use Case: This enhancement is useful for agencies that manage both Personal and Commercial business and store customer information at either the Contact or Account level.

By validating records based on the configured deal type and checking the appropriate Contact and/or Account records, the system can identify existing records more accurately before creating new ones. This helps minimize duplicate record creation and ensures that form submissions are associated with the correct Contact or Account.

To view the enhancement in Personal Deal Type.

Navigate to Forms.
Click the three dots and select Form Automation.

The Form List > Contact Update – New > Create Pipeline Card page appears.
Enable Create Pipeline Card.
The Create Pipeline Card page appears.
From the Deal Type dropdown, select PERSONAL.
Fill in the required fields.

Scroll down the Create Pipeline Card page and enable Do Not Create Duplicate.

After enabling Do Not Create Duplicate, duplicate validation for Personal deals follows the sequence below.

Personal Deal Validation Flow

Step 1: Contact Email Validation

The system checks whether the Contact email already exists.
If a match is found:

- The existing Contact is used.
- No further validation is performed.

Step 2: Contact Phone Validation

If no Contact email match is found, the system checks Contact phone fields.
If a match is found:

- The existing Contact is used.
- No further validation is performed.

Step 3: Account Email Validation

This validation occurs only when:

Contact email is unavailable, and
Contact phone is unavailable.

The system then:

Checks the Account email.
If a match is found:

- The existing Account is used.
- No further validation is performed.

Step 4: Account Phone Validation

If no Account email match is found, the system checks the Account phone number.
If a match is found:

- The existing Account is used.
- No further validation is performed.

Step 5: Create New Records

If no Contact or Account match is found.
A new Contact and Account are created.

To View the Enhancement for the Commercial Deal Type:

Follow the same steps described above for the Personal Deal Type, but from the Deal Type dropdown, select COMMERCIAL.

After enabling Do Not Create Duplicate, duplicate validation for Commercial deals is performed only at the Account level.

Note: Contact-level validation is skipped for Commercial deals to prevent contacts from being associated with incorrect companies.

Commercial Deal Validation Flow

Step 1: Account Email Validation

The system checks whether the Account email already exists.
If a match is found:

- The existing Account is used.
- No further validation is performed.

Step 2: Account Phone Validation

If no Account email match is found, the system checks the Account phone number.
If a match is found:

- The existing Account is used.
- No further validation is performed.

Step 3: Create New Records

If no Account match is found.
A new Account and associated records are created.

Need the option of filter in task list and task update in the form – Task List and forms

We have updated the “Pipeline” filter in the Tasklist section, renaming it to “Task Relation” for better clarity. Additionally, we have enhanced the filtering capabilities by introducing two new options: “Related to Forms” and “Not Related to Forms.”

Tasks created through forms can now be filtered using the “Related to Forms” option.
Tasks not created via forms can be filtered using the “Not Related to Forms” option.

Use Case:
This enhancement improves data visibility and accessibility, enabling users to quickly identify and manage tasks based on their origin—whether generated through forms or not.

To View the Enhancement:

1.Navigate to Tasklist page

Manage your results easily by using the filter as mentioned below.

Click on Task Relation in the filter section to view two more options below.

Below is the filtered task by selecting the “Related to Forms” option.

Clicking a task shows “New task created via Forms” in the activity section.

Below is the filtered task by selecting the “Not Related to Forms” option.

Auto and Home Combine Quote for PLRater & Quoterush

Earlier, users had to fill out two separate forms for auto and home insurance. Now, with the latest enhancement, you can fill out both auto and home details in a single form, easily sync it with PL Rater and QuoteRUSH, and when the deal card is created for this form, you will be able to access all quotes in one convenient place.

Use Case: With combined auto and home forms, sync directly with PL Rater and QuoteRUSH, and access quotes easily.

To View the Enhancement:

Navigate to the Form’s Module.
Select an Auto & Home Combine Quote form.

Select what you would like to quote: Auto, Home, or both.

Upon form submission, the form will automatically sync to Quoterush and PL Rater.

Tracking form analytics

This new feature enhances the response tracking system for individual forms. With this new update, you can effortlessly monitor the number of responses your forms have received, and these responses are conveniently displayed in both chart and list formats.

Use Case:

This advancement will guide in tracking and analyzing form engagement, gaining insights into response patterns, and evaluating the effectiveness of response rates.

Navigation:

Navigate to the “Forms” section.
Click on “Form Analytics” to explore the new response tracking capabilities.

Mark Form as Favorite and Filters

Now you can mark a form as favorite and filter all your favorite forms from the form list.

Note: This feature will work separately for My Forms and Agent Forms.

However, if there is any form marked favorite under the My Form list that has been shared by any other agent or by the logged-in agent, then that form will also be available under favorites in the Agent Form section.

To view the enhancement:

Navigate to Forms
To mark a form as favorite, click the star icon
To filter the Favorite Forms click the star icon beside Form List
Slide the toggle bar on the top right to view My Forms or Agent Forms

New UI and New Sections in Form Settings

The form setting user screen has changed. Previously a dialogue box would open on the right side of the screen.

But now, a new page will open.

To view the enhancement:

Navigate to Forms
Click on the settings icon beside any form from the form list.

Three new sections has been added Change the form property (form name), Get email notification for card created and Website widgets

In Change the form property, you can change the form name. To change the form name enter the new form name and click on update.

In Get email notification, you will be able to customize who should get a notification when a deal card is created from a form submission.

From the website widgets section, you can generate HTML & iframe links for the form to embed on a website.

Remove shared form handling similar to email templates

With this update, when a user shares a form with other agents, those agents now have the ability to remove the form from their accounts without permanently deleting it. This means that only the original form creator retains the privilege of deleting the form entirely.

Use Case: Simplifies form management and ensures that forms shared among agents can be easily controlled without the risk of permanent deletion.

Navigation:

Navigate to the Forms Module.
Locate the form you wish to manage.
Click on the three dots menu icon.
Select the “Delete” option.

Note: Forms created by the user can still be deleted by the user.

Note: Forms shared with the user by other agents cannot be deleted; instead, they can only be removed from the user’s forms list.

Share and Unshare Forms

You can now share and unshare access to the forms for any agent just as you do in google docs.

To view enhancement:

Navigate to Forms
Click on 3 dots icon

Click on Share

Select the agent names and click on Share to share the form

To unshare, select the agent name, select remove access from the drop-down and click Remove Access.

Share Form with Read/Write access

Whenever you share forms with any of the users, you will have the option to give only read or read/write access. If you give read access only, then the user will not have the option to edit the form. When you allow read/write access to the user/agent, they will be able to edit the form.

The delete option will be available only for the agent who has created it.

To view the enhancement:

Navigate to Forms
Click on the three-dots icon below the action section
Click on Share

Select the access- Read or Read/Write
Select the agent
Click on Share

Note: If you have already shared the form before with any agent, it will be marked as previously shared with the access details beside the agent’s name.

Sorting in Form

Create Custom Forms

In this article, you will learn:

Users can build a custom form from the form list section.

Use Case – You can build specific quote request forms (Commercial Insurance) for specific Pipelines (Commercial Insurance Pipeline) so that once a prospect fills in the details it goes to a specific pipeline and gets assigned to a specific agent.

In the form list section, you can find all the forms that have been created, either you can set a pipeline from the previously built forms or can create a new form and set a pipeline for that form.

How to customize form settings to create a dealcard?

Go to Form
Click on the Form list
Click on Form Settings
A right panel will open to Create Deal Card In

Make following selections

Visibility(Private/Shared) board
Pipeline (dropdown)
Stage (dropdown)
Agents whom to be assigned (Multiple selection)
Agents to get an email notification for card created (Multiple selection)
Click Save

Enhancement: January 2021

Option to create deal card in Pipeline

Now agents will get an option to select whether they want to create a deal card against the form received in Pipeline or not.

To check the enhancement:

Click on forms
Click on forms list
Click on Form Settings of any particular form you want to use
A right panel will open to Create Deal Card In
Click on the Pipeline Setting option
In the top you can find a sliding button beside Create Deal Card
You can slide right to create a deal card or you can slide left to omit the step.
Once you deselect it, there will be a notification saying “no deal card will be created for this form.”
Click on the dropdown to select agents to get notification on form submission.
Click on save

Update Contact info via Custom Form

Use Case – Sometimes we may have basic information missing from the client profile. Either we can manually add them or an easy way is to send them a form to confirm current information and add missing information. This way we don’t have to chase them individually or update it manually. This can be accomplished by using the custom form and selecting the option to let the custom form update the contact information.

To update contact via custom form:

Prepare the Form Using this Predefined Template in Form Template

Edit the Logo of your Agency and Save the Template

Click on forms
Click on forms list
Click on Form Settings
A right panel will open to Create Deal Card In
Click on Contact Update
Slide the button to enable/ disable the contact update form.
Once you select it, the tag will get auto-filled
Click to copy the tag
A confirmation popup will generate saying: tag copied
Click on save
A confirmation popup will generate saying: For settings updated

To email the custom form to collect the missing information:

Prepare the Email Template in template builder and Hyperlink the copied tag with button or you can add tag directly to emails:

Example: Missing Info for Sabaresh Contact:

Now send the email to the client to collect information using the Send Email options:

Email can be send either from contact 360 section

From the contacts

Go to the contacts
Select the contact and click on the 3 ellipses (…) under the action tab
Click on send email
A window will open to form the email, fill in the details such as email id, subject line and paste the tag that you copied or can choose the template from the contact update folder that you have created.

Click on send
A popup notification will appear for email sent successfully.

The client will receive an email with the custom form tag in it. He needs to click on it and fill in the missing details.

Once the email receiver opens the mail, he will find the link. Clicking on the link will open the form. He can fill up the details and click on submit. The contact form will get updated in the IM portal.

Note: The custom form which the client will receive will have pre filled data from Contact 360 and others will represent blank. These blank data will be filled by the client.

Once the client fills in the data, it would look like this:

Once the missing fields are filled up by the client (example: Sabaresh- User) in the form, the form is received from Agent

The user will also receive confirmation email on submission

At the same time the Agent will also received email notification on Contact Update

To view the response and the contact update log:

Navigate to forms
Click on form list

Select the form that was sent, and click on view tab to open the form

The filled form from client will look like this:

In the Contact 360 section you will find the missing info is updated.

You can also view the form response via logs.

Click on logs to see the updated contact.

The log view will be something like this:

Important Points:

Form tags are handled in Agent Level example: Form Prepared by Agent1 , he can use the Form tag to collect his missing user info
Contact Updated will be in InsuredMine level, Team is working on enhancement for AMS Sync
