Multi- Factor Authentication can be configured by the agent himself/herself. One can enable or disable this feature as required. 

MFA integration will provide an extra layer of security while logging in. Once this feature is enabled, the agent cannot log in directly, he has to scan the QR code using the Google authenticator application. On scanning, he/she needs to type in the MFA codes (2 codes). 

To view the enhancement:

  • You need to move the toggle bar to enable MFA integration

  • You can click on the app link provided to download Google authenticator application.

  • Scan the QR code using your Google authenticator application

  • There will be 2 MFA codes generated via your application, type those codes 

  • Click on save.

 

  • You will get a message saying

  • Once, the MFA configuration done, log out once and then log in again with your login id, you will be asked to insert the MFA Token from Google authenticator application

  • Click on send

  • In case you want to reconfigure the MFA integration click on the reconfigure option to regenerate the MFA code.

  • In case you don’t want the MFA integration you can move the toggle bar to disable it.

In this article, you will learn:

Agents have the flexibility to set-up multi-factor authentication (MFA) to enhance security. This feature can easily be turned on or off as per  requirement. When enabled, the agent must use the Google Authenticator app to scan a QR code and enter two MFA codes for login, providing an extra layer of protection.

Use Case: Enabling a Multiple Factor Authentication adds an extra security layer to the login process. 

Admin Access and MFA Configuration:

To view the enhancement:

  • Navigate to settings.
  • Click on MFA.
  • A dashboard will now appear allowing admins to enable/disable MFA Restriction for each agent.
  • If an admin turns off MFA for an agent, the agent can’t activate MFA on their own.
  • The activation of Multi-Factor Authentication (MFA) for an agent necessitates admin-level access.

Agent Mode and MFA Registration

  • This MFA setup page is only for agents under agent view, which allows them to configure their own MFA process after admin’s approval.
  • Access the Admin view.
  • Navigate to settings.
  • Choose MFA (Multi-Factor Authentication).
  • Enable MFA for the designated agent.

Configure MFA for Agents:

  • The agent is now authorized to activate Multi-Factor Authentication (MFA).
  • Proceed by selecting the “Yes” button.
  • After clicking yes, you will be then asked to set up a virtual MFA device.
  • First, you need to download the Google Authenticator app from the respective app stores.

Note: The authenticator app is essential for generating MFA codes.

  • After installing the app, Launch it and follow the on-screen instructions.
  • Scan the QR code provided on the portal with the app initiates the enrollment process.
  • Input the generated MFA code back into the portal and save the configuration.
  • From the admin panel, you can easily view the configured status of a specific contact marked as “Yes.”

Note: Users in InsuredMine should remain in the agent view while setting up MFA for themselves. Additionally, admins have the capability to grant access and check the MFA status for agents (on/off).

Feature release Date: February 1st, 2025​

With our latest enhancement, admins and agents can easily access recently viewed accounts, contacts, pipeline cards, and policy details, making it simple to revisit and update them.

Use Case: Ability to quickly access and review the most recently visited contacts, accounts, deal cards, and policy details.

To View the Enhancement:
  • Click on the recently accessed icon located in the top right corner.
  • A panel will open on the right, giving you quick access to recently visited accounts, contacts, policies, and pipeline cards.
  • Click on any item to easily revisit and update it as needed.
  • For example, if I choose the most recently accessed account shown in the image above .
  • You will then be redirected to the Account360 details of the account.

 The latest enhancement allows administrators to grant access to agents based on specific account types. This feature enables agents to create accounts tailored to their permissions. For instance, agents granted access to personal accounts can solely create personal accounts, while those with access to commercial accounts can exclusively create commercial accounts. As a result, whenever an agent creates a deal card, contact, or account, they will only see options corresponding to the specific account type they’ve been granted access to.

Navigation:

  1. Go to Settings.
  2. Click on Configuration.
  3. Select Users.
  4. Choose Action.
  5. Click on Manage Account Types.
  6. Specify the account type to assign access.

Note: Granting an agent access to a particular account type restricts their ability to create only that specific type of account.

The latest enhancement introduces the addition of the “Deal Category” field as a mandatory field for won deal restrictions within the settings. This update ensures that upon marking a deal as won, users must specify a deal category.

new field “Deal Category” as a mandatory field option has been added in won deal restrictions in settings. So when you enable Deal category as mandatory field and when you mark won any deal card then deal category will be required to fill.

Navigation:

  1. Go to the Settings section.
  2. Select the Configuration option.

3. Click on Mandatory Fields.

4. Choose the Won Deal category

Note: After saving this setting, every time a deal card is marked as won, the Deal Category field will be required.

In our ongoing commitment to enhancing user experiences, we have made significant updates to our “Get Started” process, “Settings” module and the “Sales Dashboard” feature. Our latest changes involve the incorporation of existing features that, while functional, were not particularly simple to use. The result of these updates is a more intuitive and organized system that caters to our users’ needs effectively.

Use Case:  The upgraded “Settings” module, along with refinements in the “Get Started” process and the improved user-friendliness of the “Sales Dashboard” settings, simplifies user interactions by categorizing every feature into unique, specific categories. This makes it easier for users to locate and utilize specific settings as they kick-start their journey with insuredmine. This streamlines the user experience, enhances efficiency, and reduces the complexity of navigating the platform, ensuring that users can make the most of our services with ease.

Recent UI changes in the "Get Started" feature:

Get Started:

Now, with the recent UI changes, let’s walk through how you can begin your journey with insuredmine using the “Get Started” option.

You can access it in two ways: by clicking the top icon present in the left sidebar or by clicking your profile icon and selecting “Get Started” from the dropdown menu.

Here we’ve streamlined “Get Started” into two distinct categories, “Mission Onboarding” and “Customization Mission.” Next, you’ll be redirected to a page where you can start your journey by setting up your profile or customizing other essential organization settings.

“Mission Onboarding” is the initial process to help you get started with insuredmine quickly. It includes essential steps like setting up your profile, connecting your work email, and the option to use e-signature features. This process is meant to ensure a smooth start to your mission.

The Second Category is  “Customization Mission”  which will allow you to configure various aspects of your journey. It lets you do tasks such as setting restrictions, defining user access to different modules, specifying mandatory fields, enabling smart search access, and configuring other essential organization settings.

Quickly complete your profile by following these six easy steps:

Start, personalizing your account by uploading a nice profile picture of yours from the “Upload Photo” section, which will help you enhance your credibility.

– Then, enter your “Full Name.”

  – Enter “Work Email Address.”

   – Enter “Full Home Address.”

   – Enter “Phone Number.”

To finish, simply click on “Save & Continue”.

Recent UI changes in the “Settings” module:

Settings:

Now let’s begin by exploring the changes that have been done within the “Settings” module.

But first, let’s navigate through the possible ways to access the “Settings” module.

First, you can access it by clicking on the user profile or face icon drop-down located at the top right corner of the header.

An alternative way to access it is by scrolling through to the bottom of the left sidebar.

Below are some of the categories within the “Settings Module” where we’ve recently integrated existing features:

Under the Category: Configuration 

Checklist Settings:

  • The “Checklist Settings” feature has been introduced under the settings module.
  • “Checklist Settings” can now be created and managed in the configuration under the settings module.

It is also accessible from the “Pipelines Module” present in the sidebar. To access “Checklist Settings,” simply head to the Pipelines module in the left sidebar, click on the settings icon from the top right corner, and then select “Checklist Settings” from the drop-down menu.

Tasklist Settings:

  • “Tasklist Settings” now has been introduced in the settings module under configuration to provide options to customize and configure task-related preferences.
  • Users can also now tailor tasklist settings to their specific workflow needs under the settings module.

It is also accessible from the Tasklist module’s sidebar. To access “Tasklist settings,” simply head to the Tasklist module in the left sidebar, click on the settings icon in the top right corner, and then select “Settings” from the drop-down menu.

Contact Automation:

A feature called “Contact Automation” is now added to the settings module. This feature was earlier found within the Contacts module, but it has now been integrated into the configuration section for better organization and accessibility.

To access “Contact Automation” go to the Contacts module in the left sidebar, then navigate to the three dots icon in the upper right corner, and then select “Contact Automation” from the drop-down menu.

Under Agent View: We can now also access Checklist Settings, Tasklist Settings, and Contact Automation under the settings module.

Pipelines:

  • Now you can access Pipelines directly from the settings module.
  • The Edit & Create Pipelines option is now available within the Pipelines category.              
  • Currently, if you are an Agent, some options might not be available in the agent view. For instance, if you go to the pipeline category, you can only view pipeline settings; underneath, there are many features, but you can only view Pipeline Leaderboards.

It was earlier located in the Pipelines module’s sidebar. To access “Pipeline Settings” go to the Pipeline module in the left sidebar, then navigate to the three dots icon in the upper right corner, click on them, and then select “Pipeline Settings” from the drop-down menu.

We have also included headers for each feature within the Settings Module to improve its structure and user-friendliness.

Recent UI changes in the “Sales Dashboard” feature:

Sales Dashboard:

Lets begin with how you can access the “Sales Dashboard” feature.

To access the “Sales Dashboard”, navigate to the “Dashboard” option in the sidebar menu. Once there, click on the drop-down arrow located below the “Agency Dashboard”  from there select “Sales Dashboard” from the options provided.

Lead Flow:

  • Before, we could access the information by choosing “Group By,” but now we need to select “Group By” to view the details.
  • Options have been refined for better usability, including grouping features by category.

Master Report:

  •  A new feature has been added to provide data based on selected pipeline criteria, including cards count, premium, and revenue.
  •  Add Filters can be applied based on stage, status, assignee, deal source, label, and category.

Pipeline Leaderboard:

  •    The background color has been updated.

 Deal Status:

  • Deal conversion, Total Deal & Deal Status have been grouped within “Deal Status” for better clarity.
  • In the “Production” section, you can now easily track two key metrics: Monthly Production “Won’’ and Monthly Production “Lost.”

Deal by Category/ Carrier:

  •   “Deal by Category” and “Carriers” are now combined and presented in a single view.

Deal by Stage:

  • We’ve now  categorized a total of 3 stages within the “Deal by Stage” option: Deal by Stage (snapshot), Deal Conversion by Stage, and Deals Moved To Stages  for better organization.

Deal Report By Health/ Labels Source:

  •  Deal Report by Health, Label, and Lead Source have been combined into one section (Deal Report By Health/Label/ Lead Source) for better accessibility.

Now you can sync the activities of contact with AMS 360. The sync option can be either manual or automatic. 

To view the enhancement:

  • Navigate to settings

  • Click AMS360 sync fields

  • By default, the auto will be selected, but agents/admin can change it to manual.

  • So, if the manual sync option is selected then any activities performed related to notes, SMS, email, task, files, and activity, then the sync option will be available under the action tab (3 dots). To sync the activity agents need to click the sync button.

Note: The sync option will be available if the contact is synced with AMS360.

  • For example, if you want to sync an email, then once you click on the sync option, you will get the option to select the activity and the select policy. But the activity and policy are optional, it’s not mandatory. These two sync fields that are activity and policy will be available while syncing notes, SMS, email, task, and files.

  • But for activities the sync fields are different, and the contact name is mandatory.

  • The drop-down will let you filter and view agent login details per your preference.

  • The Admin login can view the login details for all agents, while the agent login will only display the login details for the logged-in agent.
