 Getting started with InsuredMine has never been easier. In just seven simple steps, you can effortlessly create your profile, and then you’re ready to embark on your insurance journey.

There are certain steps that you need to follow to get started with insuredmine.

  1. Complete Profile
  2. Connect Work Email
  3. Connect Scheduler
  4. Verify Email
  5. Add Signature
  6. Configure texting and Calling
  7. Add Users

Step 1- Complete Profile

  • Upload your Profile photo.
  • Type in your full name, email address, full address, and phone number. 
  • Click to Save and Continue.

Step 2- Connect your work email

  • Link your email for seamless communication.
  • Choose any of your accounts that you like to connect and click on connect. For instance, I have chosen G Suite.
  • Click on Save & Continue.

Note: This email will be the email address that you use for marketing and even for your google calendar scheduling.

Now that your work email is connected , create a schedule via link.

  • Click on the Scheduler option.
  • Fill up the information in the Scheduling Page and then click Next.
  • Fill up the event booking details.
  • Then, click on Create.
  • Your next schedule will be created.

Step- 4 Verify Email

  • If your email has been verified, a tick mark will appear under verified; otherwise, click the verify email option.
  • In case you want to add additional email addresses such as support or help desk email id, that you have, you can type in too.
  • Click on Save and Continue.
  • Type in your name and email address.
  • Click on the verify email button.
  • In case you want to add additional email addresses such as support or help desk email id, that you have, you can type in too.
  • Click on save.

Step 5- Add Signature

To add a signature, you need to send an email from your account to signature@insuredmne.com with the signature that you want to get displayed from the insuredmine platform.

  • Check the box beside: I have sent the email.
  • Click on Save and Continue.

Step 6- Configure Texting and Calling

Enabling Texting and calling functionality within the platform is easy and simple:-

Just Follow these steps:

  • If you are having a Ringcentral Account:click the option: I have a RingCentral Account.
  • Fill in your RingCentral Number.
  • If you do not have a RingCentral account but wish to add a phone to your InsuredMine Account then select: I need a number with my area code.
  • Then, click on Save & Continue.
  • A ticket will then be raised related to the request.

Step 7: Add Users

Note: This step is available for Admin only.

  • Select the role: Admin, Manager, CSR, or Agent. For instance, in this example, we are choosing the role of Agent.
  • Fill in the other details – Full name, phone, Cell Phone and log in Email.
  • Click on Next.
  • Check the Producer box to give producer level access to the new user under admin view.
  • Click on Next.

Once done click on Save and finish.

If you want agents to have access to all the agency data, check the box beside All Agency Data Access.

  • Check the Producer box to give producer level access to the new user under admin view.
  • Click on Next.
  • You can choose to grant access either collectively for all items (Pipelines, workflow, checklist, Custom forms, and templates) or individually for each item to the new user.
  • Then click on Add Member.
  • You will get a success notification saying: Agent is added successfully.

Use case – Improve productivity with all options being more accessible.

Process:

  • Navigate to Get Started, and click on Create New Sender.

  •   Add the Name and Email address of the sender.

  • You will notice that the email address is not verified in InsuredMine. A verification email will be sent to the address.

  • You will receive an email from Amazon Web Services to verify the email. Once you click on the link sent in the mail, the email will be verified and added to the list.

  • To use this sender’s email address, navigate to Engagement and select Create under Email campaigns.

  • The newly added email will be added to the list.

  • Agency Portal: The Sales, Engagement, and Analytics power-house of the InsuredMine system. The Agency Portal is connected with your management system to bring you a deeper understanding of your business and to give you tools to bridge the gap between your current system and your current needs.
  • Customer Portal: This is an online portal for policyholders where they can see and manage their insurance portfolio, whether a policy is with your agency or not. Policies with your agency will automatically show when they register because we are connected with your management system.
  • Accounts: An account can represent a business, a couple, or an individual. Within an account you can have contacts such as “Jim” and “Mary Jane” and then policies within the account are mapped to a contact within the account.
  • Contacts: The Contacts module is the Rolodex or phone book for your agency, it can be comprised of active clients, inactive clients, prospects, or even carrier partners, such as underwriters, if desired.
  • Account 360: This is where information for a particular account is stored. The Overview screen provides broad information about the account such as specific contacts, number of policies each contact has, premium values, etc. Also within the Account 360 are documents, email, text, and chat conversations, and records regarding the account’s involvement in the Deal Board.
  • Chatbot (VIA): This is an artificially intelligent assistant, named Via (virtual insurance assistant), who can help gather information for quoting, can direct clients regarding customer service needs, and more generally serves as a 21st-century ambassador of goodwill for your agency.
  • Auto Task List: The Auto Task List is composed of incoming requests from the Mobile App or system-generated alerts for things such as renewals.
  • Deal Board: The Deal Board is an all-encompassing sales pipeline tool with integrated email and text, with collaboration tools between the agency and the prospect as well as within the agency. You can add user licenses by sending an email to support@insuredmine.com with name, email details of the new user.

Accounts FAQ

Active policyholders information including policy details on the account name, primary contact, premium, number of policies held, city and the agent name.

1.  You can send text, chat, and email through accounts.
2. An overview of policies, documents, events, card history, campaign analytics and profile logs is also available in accounts.
3. You can also add notes, activity, task, files for easy reference to important information.

The download option in accounts helps to download the account details on your computer or laptop device in the CSV format. Save as reports help the agents to store the data on the account list for reference which can be archived and shared with others.

Policies FAQs

Policies by me indicate the policies assigned to the agent. The agent is handling all communication with the client.

X dates refer to third party data of policy nearing expiry dates. These are selling opportunities for agents as the clients are actively looking for policy quotes at a cheaper rate.

To download policy details, click on the gear icon, at the top right corner in the policies module and select download. The policy details will be downloaded on your computer device in the CSV format.
Save function works to save the policy details as a report in Insuredmine reports segment. You can select Save as Report by clicking the gear icon in the Policy module.

If the policy is active, there is a cancel policy option in the expanded policy no. details window. In case the policyholder is not interested in continuing the policy you can directly click cancel to process policy cancellation. Alternatively, in case the policy is inactive, you can click activate policy to process policy activation for the user.

Policy card is like a credit card issued by the insurer to the insured at the time of purchasing a policy. IT includes policy number, name of the policy holder, name of insured, date of birth with policy name and sum assured.
Policy documents can be uploaded through policy documents section on the expanded policy no. window, by clicking on + Icon. + icon is for uploading policy documents to enable safe and accessible cloud storage.

You can filter policies by category or carriers. It’s easier to send text, emails or review the number of policies and premium details for a particular carrier or category.

Contacts FAQs

The Contacts list from the left navigation includes information about Active customers, Inactive Customers, Prospects, Others, and Leads in the agent database.
The refresh button is used for data refresh, downloading all the real-time information added in contacts.
Add and upload contacts

The sources of data are as follows:
1. Access information from AMS for active and inactive clients.
2. Data from CSV upload.
3. Data from the dealcard of the prospect.
4. External data from the website.

Active: Active refers to the existing policyholders of the agent. 
Inactive: Inactive refers to the Contact types in the directory who were customers in the past with no active policies.
Lead: Leads are Potential clients who may be interested in buying a policy.
Prospect: Prospects are potential clients who reach out to the agency for buying a policy.
Others:  General contact data of people who may not be customers are marked as others.

There is no other option to preview email besides sending to oneself. Send to myself works like test mail to check the functionality, content and design ensuring relevant data is sent to clients.
Yes, in the Email Campaign Analytics, under the Drafts section, you can find all your unfinished campaigns.
Yes, you can save the campaign as draft and go to the templates/list you wish to create. Next, you add it back to the campaign from the draft segment of the Analytics section.
In the Email Campaign Analytics under the sent section, you can view all the campaigns you have sent.
Enter the client name in the smart search, select the client name you will be directed to it’s customer 360 view. Under the campaign section, you can view all the campaigns you have run for the client. Alternatively, Go to the Accounts module, click client name. In the window that appears you will find Customer 360, click Campaigns segment under it.
Go to the dashboard module, in the email campaign overview widget, click on date, and filter to find specific campaigns for a particular date.
The bulk email replies can be found as notification in work mail if it is assigned to you, or customer 360 will contain the email reply in the past section under emails.
You can view the campaign message by going to the analytics section of Email campaigns in the engagement module and clicking on the campaign name under the Sent column.
Only Admin and manager can access your campaign information.
Admin, manager and other agents who have been assigned the access can reply to the campaign messages.

The automation campaign can be created in the engagement module of the Agency portal. You can set the content, condition and stages for the events mentioned in the module for which you would like to begin the automation. The events preset for the automation are Birthday, Policy renewal, Referral request, Client turning 65, Welcome clients, Cross-sell, Thank you, and Client Pulse.
Yes, you can add stages in automation except for birthday which goes out on the same day.
You can edit the content by clicking on the pencil icon for the workflow content you wish to change.

Work Email FAQs

There are several advantages as mentioned in the knowledge base.

Yes, the reply email will be seen in the main work email (native application – outlook or Gsuite) account as well as all email are in sync.
Yes, the forward sent email will reflect in the main work email account too.
Go to the settings module of your agent portal from the left navigation and click Disconnect, to remove the work mail.
Follow the steps mentioned below to set up a different email. 1. Go to the settings module, click disconnect. 2. Click refresh. 3. Now, click connect in the setting module. You will be prompted to enter the email you wish to connect
No, it’s not possible to add more than one work email.

Text Messaging FAQs

1. You can leverage templates so you don’t have to type in the same messages again and again.
2. You can message multiple contacts at a time.
3. You can trigger automation via Texting for Birthday
4. All your text messages will be sorted and compiled by contacts in your application portal
5. Clients related messages will also be available in client 360 and deal sections
6. Ability to text from the computer for convenience.

InsuredMine will try to use your current office number for your text communication. However, due to various other reasons, sometimes those numbers are not available and in that case, you will be able to pick a number and area code of your choice. We recommend using just one number per location so clients are not confused and InsuredMine on the backend will assign incoming messages to the right agents and right contacts based on client agent association.
When someone replies to you, the reply will show up under their contact record and also in your Text Message Inbox (Only on InsuredMine web application) if you are the assigned agent, you will also be notified via email as well.
Yes, the same number will be used for bulk text messages. However, our functionality on bulk messaging is limited to sending only. We are not able to get messages back on bulk messages whereas when sent as individual messages we can have back and forth conversation. Bulk messages are usually sent to notify and not for conversational purposes.
The text messages are sent and received through a mobile number and it involves a service carrier. Client will use his texting service from his phone for communicating via text, whereas for the chat – he will have to download the InsuredMine mobile app and use the chabot functionality. The chat messages are generated and transmitted through chatbot, a virtual messaging service. The text messages and chats are communicated and recorded separately for each contact.

Notification FAQs

Customer-related: Renewals approaching notification, meeting requests, quote requests, updated information notification, etc
Insuredmine related: Any new feature update information is also shared with agents in a notification, in a separate tab called Features.

Chat Messages

Customers trying to connect with an agent using the Insuredmine App, are able to do that using VIA chatbot. The chat conversations are visible to the customers in the app, whereas the agents can view them as chat messages in the Agency Portal. Agents can directly communicate with their customers from the agent portal to the app with the help of this chat messages feature.
Chat messages are accessible to customers who are using Insuredmine App. This makes agents be virtually available for the customers 24×7. Customers can ask their questions, add their updates, request a quote or request to schedule a meeting. This is done using the app chatbot called VIA (Virtual Insurance Assistant).

Chat history of customers are saved in the via icon located at the top right corner of the agent portal as chat sessions. The chat history is also available in client’s information page.

Chat history can also be viewed in the chat windows when a chat message is opened.

When customers are online, an green status indicator appears in their profile bar at the top of your chat window.

This glossary defines common terminology used across the InsuredMine CRM portal and throughout our Knowledge Base documentation.

A

Account

An account is a company, organization, or individual client that you are currently doing business with or plan to business with in the future. One or more clients can be associated with an account.

Active

Active represents anything that is currently ongoing. For example, any policy that is running is an active policy. Any account that has a contact who has an existing policy with your agency is an active account.

Activity

Activity stands for all the things that an agent does while accessing the portal

Admin

An individual who has full access to all modules in the CRM can restrict access for the agents.

Agency

Agency stands for a business or organization selling insurance policies of different carriers.

Agent

User accessing the portal

Agent App

An application installed in your phone that is accessible for agents only.

Analytics

Analytics is the pictorial/ graphical representation of systematic analysis of data or statistics.

API

The Application Programming Interface of InsuredMine that you use to make changes to or read from your InsuredMine site.

API Keys

Used to authorize InsuredMine to send and receive data across integration platforms, enabling you to get the most out of the CRM platform.

Application Language

The default language that the InsuedMine application uses. Changing this setting in the Personal Preferences will automatically reload the app with that translation.

Assignee

The person who has been assigned for a deal card or a task.

Authentication

The sign-in process that is made available to your agency, can be adjusted in the Security Settings. InsuredMine offers Google, Microsoft sign-in options. 

 Automation

Automation represents the technology used to set a business process where human input is minimized. Here automation is used to schedule any sort of communication campaign within the agency or with the clients.

Billing

InsuredMine billing starts on the day you sign up for the service and then it bills you every month on the same day if it is a monthly subscription and once a year on the same date next year if it is annual billing.

Bulk

Bulk refers to multiple contacts while you select while sending any communication through email or text message

Carriers/ Insurer are the insurance companies  and sell insurance policy

Campaign

A campaign is generally a series of communication (email/text) that is lined up to send messages or information for marketing purposes. This campaign is usually sent to bulk contacts/leads marketing is the act of sending a commercial message, typically to a group of people, using email. In its broadest sense, every email sent to a potential or current customer could be considered email marketing.

Categories

Categories are the policy categories that are referred to as Line of business in the insurance domain – E.g., Home, Auto, Boat, BOP

Checklist

A checklist is a way of keeping track of subtasks within a deal card. Admin can include a list of items/ process that is to be done while processing a deal card to the next stage. A checklist can be marked mandatory. This helps to standardize their process for consistency, efficiency, and training purposes.

Closed

An agent can close a deal card in two conditions: one, if they have won the deal or if the deal is not getting converted. In both respects, they can close the card if they don’t find any potential in keeping the card open.

Contacts

People with whom agents communicate for a business opportunity. This can be an individual who is looking for an insurance policy or a point of contact on behalf of any company looking for purchasing policies for the company.

CRM

CRM is customer relationship management software that addresses the specific business needs of an organization. You can organize the leads, claims, automate workflows, and manage policies, customer communication, all from one single window.

Cross-Sell

Selling different insurance policies on the top of current policy to the existing client.

Customization

The process of modifying various elements in the CRM account to match the business requirements.

Custom Fields

Fields that agents can create to fit the business requirements and help to fetch the type of information they want to record.

 

D

Dashboard

The dashboard is the user interface that provides you with the current summary/ key metrics of your agency business, usually in graphic representation (reports/analytics). The key information will include progress and performance, automation, workflow data.

Deal

The most important record of the CRM system. The deal here represents the selling of insurance policy to generate revenue for your agency.

Dealboard

Dealboard is the platform where all the deal cards can be viewed in one frame.

Deal Card

The deal card is the file that includes all the details of any lead, prospect, or existing client. This deal card includes all the policy details, communication details, tasks, activities, etc.

Deal Charts

Deal Charts are a great way to get real analytics on your business in a visibly friendly way. From the Pipelines, you can click on the Action icon to get the deal charts. 

Drip

Drip is the series of communication that you set to send to leads/ prospects or clients at various stages. Communication can include email, text messages, etc.

Document Manager

Document Manager is the place where you can store all your data in the form of files and folders.

Engagement

The engagement module enables agents to initiate communication and develop a one-to-one relationship with the leads, prospects, and customers. 

Executive for AMS360 users

In AMS 360 an executive is the specific type of service personnel from Service Group who is assigned to a client. 

F

Filter

Filters are an easy way to search, sort, group, and analyze Accounts, Contacts, Deal Cards, etc.

Forecast view

The forecast view represents the presentation of deal cards based on their expected closing date.

Form

The form is a document that is used by agents to collect data of leads, prospects, and existing clients.

Future Effective Date

A future effective date is when a policy will start in the future. for example, A person purchased an auto policy, but it isn’t doesn’t go into effect/start until 3-7-2022.

G

Google Reviews

Google reviews help your business stand out. You can collect Google reviews from your customers through the InsuredMine portal and can get the best one visible.

I

IFrame

An IFrame (Inline Frame) is an HTML document embedded inside another HTML document on a website.

Inactive

Inactive represents anything that is not in use or lapsed, for example, any account that includes contact with an expired policy or has never bought any policy yet is inactive.

Intake Form

An intake form helps agents to collect accurate and up-to-date information from a new client. For example home, vehicle, insurance details, coverages, etc.

L

Labels

Labels are a type of bookmarks or meta-categories that you can create for deal cards. The label can help agents quickly filter and search the deal cards using the labels.

Leaderboard Reports

Leaderboard Reports in Pipeline Manager helps the admin to get a detailed picture of the deals. In Leaderboard Reports one can find detailed reports and analytical views about won deals by agents, lost deals by agents, open deals by agents, deals moved to stages, and deal by stages.

Lead Source

Lead source stands for the source or contact from whom you have got the lead/ prospect details. Lead source gives a detailed view of the number of deal cards you have got from different sources and can have the necessary contact details for them.

List

List is basically a contact segmentation based on single or multiple criteria/filters to define a target audience for any specific communication or campaign.

Lost

If agents fail to sell an insurance policy to the lead, then the deal card that they had created is marked as lost.

M

Monoline

Monoline stands for customers who possess a single policy (that covers only one risk).

O

Onboarding

Onboarding is the process where agents are introduced to the InsuredMine portal and provided training for accessing the portal.

Opportunities

Opportunities are the process of tracking all opportunities for potential sales and converting them into recurring revenue. It includes renewal, X-date, Cross-Sell, and Monoline

P

Pipeline Manager

Pipeline Manager is an organized, visual way of tracking buyers’ journeys as they progress through different sales stages.

Policies

Policies are the insurance policies that an agent sells to the clients. These policies can be auto, home, life, etc.

Portal

Portal is the web page that provides access to the agents to the InsuredMine CRM where they can manage their agency business and connect with their customers from a single platform.

Premium

An insurance premium is the amount of money that an individual/ business pays to the insurance provider periodically. 

Private board

The private board is the part of the deal board where the deal cards created by the logged-in agent will be displayed.

Q

Quote sheet

InsuredMine Quote Sheet is a pre-designed intake form that can be used to gather information from the new client.

R

Renewal

Renewal is the process where the existing policy of the client is about to expire and needs to be renewed. 

Reports

Reports are basically performance summaries of performance metrics relevant to the role of each team member. You can use the insights you gain from these reports to improve your sales and marketing campaigns, as well as to make smarter, data-backed business decisions.

Revenue

Revenue is the commission generated while selling insurance policies to clients by the agents.  

Representative for AMS360 users

In AMS 360 a representative is the specific type of service personnel from Service Group who is assigned to a client.

Sales  

Sales denoted the business volume that agents do while selling the policy to their clients.

Sales Deal Charts

Deal Charts representing the agency sales. These deal charts give a complete overview of the overall agency business done by each agent. 

Scheduler

Scheduler helps to schedule meetings without the hassle of back-and-forth emails. You can find the scheduler in the deal card.

Shared Board

The Shared board is the part of the deal board where all the deal cards will be visible that can be accessed by all the agents within the agency.

Single Contact Drip

Single contact drip triggers are set to start a campaign, for the specific pipeline in the pipeline manager module, when a relevant event takes place. customized drip template that can be scheduled to any contact whenever agent needed

Stage

Stages are milestones that a lead crosses while passing through the sales funnel.

Sync

Data synchronization is done within two platforms- the existing Agency Management System and InsuredMine CRM.

Tags

Tags are unique identifiers that can help agents to search, sort, filter, categorize, and segment contacts and accounts in an efficient manner. Tags in contacts help to differentiate each contact based on any particular parameter, for example, immediate closure, multiple policyholders, etc. But shortcut tags in templates are data field references with two sets of curly brackets: for example, {{Name}}

Template

A template is a format/ pattern used as a guide to creating marketing material.

Template Builder

Template Builder allows agents to create new, or edit and build customized templates based on existing templates.

Text

Text is the text message that an agent sends to potential and existing clients.

 

V

View

The view is the arrangement or representation of how the details will be visible. Example: List view, grid view, etc.

W

Widget

Widget is the graphical user interface (GUI) that displays real-time information about any specific campaign.

Won

If agents are successful in selling an insurance policy to the lead, then the deal card that they had created is marked as won.

X

X-dates

X dates are prospecting opportunity dates set by the agents to reach out to the prospect before the due date or expiration date of the existing policy.
