Release Date:- December 9th 2025 

We have introduced a new enhancement for HawkSoft users. Now, all policy-related sync logs—including files, notes, and tasks—will sync and appear under the respective Policy section. Earlier, if a file, task, or note associated with a policy was synced from InsuredMine (IM), it was logged under Client/ account Logs instead of Policy.

With this update, policy-related information is now correctly organized under the Policy section.

Use Case: This feature ensures that all policy-related items now sync directly to Policy, allowing the agent to quickly view and manage activities for the correct policy without confusion.

To view the Enhancement:

• Navigate to HawkSoft AMS.

• Search for the client/account that you want to view.

• Under the Account, navigate to the Policy section. Under Policy Details, click on Logs.
• As shown below, all the policy-related information is visible in the separate Policy section.

Earlier, there were complications on displaying full agent names for the few  agents which are not present in InsuredMine instead it was showing the agent’s initial which is getting synced from HS. This was causing complications in areas where the agent’s name is required. Now, our latest update simplifies the mapping of agent initials  to agent names within InsuredMine. You can now easily add and save the correct agent names for the agent initials  coming from Hawksoft to InsuredMine.

Use Case: Easily map agent names to agent initials from Hawksoft to InsuredMine, ensuring accurate representation and improving workflow.

To View the Enhancement:

• Navigate to the Settings Module.
• Within Configuration, select ‘Hawksoft initials.’

• Agent initials with Agent Name will be displayed.
• Just add the agent name in- respective to its initials 
• Click Save.

Next, wherever the agent’s initials are mapped, such as in accounts, contacts, or policies, the modified agent name will be displayed.

Use case – Easier to view and analyze policy and report data.

Process:

• Policies
  • Navigate to Policies
  • Click on the Filter icon in the top right corner

• The latest filters – Policy Form, Status, and Sub Status, are at the bottom of the list.

• Click on the drop-down menu under the filter options to choose the filters and click on Apply.

• The list of filtered policies will be displayed.

• Reports
  • Navigate to Reports
  • Click on the Group By drop-down

• Choose the group by option, and the Book of Business will be sorted accordingly.

Process:

• Navigate to Pipelines to add a deal card. Click on Add deal.
• Scroll down to select the policy form from the Policy Form drop-down.

• Policy form can also be added under Quotes after adding a deal card.
• Navigate to Quotes.

• Click on Add quotes. It will be reflected as a policy form for the Deal card.

Note:

• The policy form field is available in the Add Deal Card option throughout the portal, such as Headers, Pipelines, Contact 360, Contact, Account 360, and Work Email, Opportunities module.
• A filter of Policy Form has been added. You can also filter deal cards based on the Policy Form.

(B) For Commercial Accounts – the data points that will be synced from HawSoft to InsuredMine are:

2. Contact Name (Primary)
3. Other Details are the same as the above

2. Policy Sync in InsuredMine:

The policy that you add in HawkSoft will get automatically updated in the InsuredMine portal. The data points that are synced while adding a policy are:

1. Email
2. Cell Phone
3. Category/ LOB
4. Agent
5. Insurance Type
6. Carrier/ Company
7. Policy Number
8. Policy Term
9. Annualized premium
10. Written premium
11. Policy effective date
12. Policy end date

3. Policy Coverage Sync in InsuredMine

The data points that get synced in the InsuredMine portal from Hawksoft are:

3. Limits

Manual Data Sync

Agents can manually update the data into Insuredmine from HawkSoft by clicking on the “Daily AMS Sync” Button.

In the form module under form automation, a new section named Create CMSMTF File has been added. If enabled, this will allow the form to be downloaded once it has been submitted.
