The InsuredMine Outlook add-in integrates InsuredMine CRM with Microsoft Outlook, providing AI generated email thread summaries and quick access to related contacts, accounts, notes, and tasks. Users can manage client context and perform key actions directly from Outlook.

Use Case: This add-in helps users quickly understand long email threads using AI-generated summaries while working in Outlook. It allows instant access to related InsuredMine CRM data, enabling users to view context, take action, and navigate to the correct contact or account without leaving their inbox.

Steps to add the Add-in:

  • Open your Outlook application or Open it on the browser.
  • Go to the Browse Add-ins.
  • In the search bar – search InsuredMine.
  • InsuredMine for Outlook appears and click on Add.

Steps to Use the InsuredMine Add-in

Step 1 — Open Add-in

  • Launch Microsoft Outlook  (Desktop or Web).
  • Open any email conversation
  • Click the “InsuredMine Outlook Add-in” icon.

Expected Result: Add-in panel opens showing the “InsuredMine” option.

Step 2 — Sign Up to InsuredMine

If you do not have an existing InsuredMine account and credentials, please follow the steps below to sign up:

  • Click “LOGIN” in the add-in.
  • Select “Sign Up” when prompted.

You will be redirected to the InsuredMine signup page, where you can start a trial version for $1 or select any available pricing plan.

Step 3 — Login to InsuredMine

  • Click on InsuredMine Add-in
  • Enter your InsuredMine credentials (email & password)
  • Click Login

Expected Result: Successful logged in to your InsuredMine interface within Outlook.

Outlook Add-In features:

  • AI Email Summary

Steps:

  • Click on any email or email thread.
  • Once the email is opened, navigate to the InsuredMine add-in and click on it.
  • Click the AI button to view the Email Summary.
  • You can view the summary of the selected email.
  • The summary includes key details of the email.

The sentiment of the email (for example, Neutral) is also displayed.

  • You can also copy the generated email summary to notes by clicking on Move to Notes.
  • Here, you can view the AI-generated Email Summary in the Notes.

Clicking on the icon beside the Account details redirects you to the InsuredMine Account 360 portal.

Clicking on the icon beside the Contact details redirect you to the InsuredMine Contact 360 portal.

  1. Notes:
  • Click on Note
  • The Add Note panel appears.
  • Enter the message.
  • Click Save.
  1. Add Task:
  • Click on Add Task.
  • The Add Task panel opens. 
  • Optionally, users can choose a Task Template from the Select Template dropdown.
  • Enter a Task Name (mandatory) to define the task.
  • Select the preferred Task Type (e.g., Email, Call, Meeting, To-Do, etc.).
  • Link the task to a Policy by selecting it from the Select Policy dropdown (if applicable).
  • Assign the task to a user using the Assignee field.
  • Set the Priority of the task (High, Medium, Normal, or Low).

     

  1. Add File: 
  • Click on Add File.
  • An Add File panel appears.
  • Users can drag and drop files or click to browse and upload files from their system.
  • Agents can optionally add a note or description for the uploaded file.
  • Click Upload to attach the file successfully or Reset to clear the selection.
  • Click save. 

 

  1. Add Deal:
  • Click on Add Deal.
  • The Add Deal panel appears.
  • Choose the Board Type:
  • Private – visible only to the user
  • Shared – visible to the team
  • Select the Deal Type: Personal or Commercial.
  • The Contact Name and Contact Email are auto-filled from the email sender and can be edited if required.
  • Fill in all mandatory fields.
  • Click Save to create the deal or Reset to clear the entered details.

Note: The Notes, Tasks, Files, and Deals added by the agent for a client are visible in the respective sections of that client’s account.

Accessing Support from the Profile Icon

  • Click on the Profile icon located at the top-right corner of the InsuredMine Add-in.
  • A dropdown menu appears with the following options:
  1. Support – This option will help you to connect to the InsuredMine support team for further assistance or queries.
  2. Log out – This option helps you to logout from the InsuredMine Add-in.

Release Date:- 13 January, 2026

We have introduced a new enhancement under the Pipeline Module → Board Settings. With this update, admins can now enable Auto Sync for specific pipeline stages. Once this setting is turned on, any deal card created/moved under the selected stage will automatically sync the associated Account and Contact to AMS.

Note: Only the Admin has the authority to configure this stage.

Note: This feature is available for AMS360, Epic, QQ and NexSure.

Use Case: This enhancement ensures that once the setting is enabled, any deal card in that stage will automatically push the associated Account and Contact data to AMS without requiring manual action. This reduces dependency on agents, prevents missed or delayed syncs, and keeps information consistent and up to date across systems.

When a deal card reaches the Admin-configured stage (e.g., “Ready to Bind”), the system automatically syncs the associated Account and Primary Contact to the AMS ensuring accurate and up-to-date information without manual effort.

Note: This feature has been released on AMS360, Epic, QQ Catalyst.

How It Works

When a deal card is moved to a specific stage in a pipeline, InsuredMine will trigger an automatic sync of:

  • The Account linked with that deal card

  • The Primary Contact associated with that account

This ensures that the most up-to-date information flows into your AMS without manual intervention.


How to Configure It?

 Account sync to Epic is demonstrated below:

  • Navigate to Pipeline.
  • Click on Board Settings.
  • You are redirected to the Board Settings page.
  • Click on the Sync to AMS tab.
  • As shown below, an option to select the pipeline stage to sync is displayed.

 

To configure the settings:

  • Enable it to On.
  • A success message, “Account Sync to AMS Enabled,” appears.
  • From the dropdown list, select the specific stage
  • All stages within that pipeline will be displayed.
  • Select the stage where the sync should occur.
  • Click Save.

A success message, “Account Sync Pipeline Stages Changed Successfully,” appears.

To View the Result:

  • Navigate back to Pipeline.
  • Open any deal card created under the Renewal Pipeline → Open stage.
  • As shown below, a deal card with the Account Name Cohen Boss opens in a new tab.
  • Click on the Account Name.
  • You are redirected to the Account 360 page.
  • Click on Contacts
  • As shown below, the contact linked with this account has been successfully synced to AMS.

Key Notes

  • Only the assigned stage will trigger the sync.
  • Ensure the deal card has a valid account and primary contact linked.
  • Admin can update this configuration at any time from the board settings.

  • Use your own agency url and creds above is just for example.
  • Please ensure that you enter the credentials exactly as provided — even a minor spacing error may cause an “Authentication failed” message.

4. Test Steps

Step 1 — Open Add-in

  • Launch Microsoft Outlook (Desktop or Web).
  • Open any email conversation.
  • Click the “InsuredMine Outlook Add-in” icon from the ribbon.

Expected Result: Add-in panel opens showing the “InsuredMine” option.

Step 2 — Sign Up to InsuredMine

If you do not have an existing InsuredMine account and credentials, please follow the steps below to sign up:

  • Click “Connect” in the add-in.

Step 3 — Login to InsuredMine

  • Click “Connect”.
  • Enter the provided test credentials email and password.
  • Click Login

Expected Result: Successful login redirects to the InsuredMine interface within Outlook.

Step 4 — Email Context Detection

  • Open any email thread in Outlook.

  • Follow Step 1 and Step 3 (if you are already logged in, the add-in will automatically open the Email Details Panel after Step 1).

  • The add-in will automatically detect the sender and recipient email addresses from the currently opened Outlook email message and display the corresponding contact details from InsuredMine CRM.
  • For testing purposes, please use an email thread where the “From” address contains “microsoft”. A contact with this email has already been created under the provided demo credentials, so the add-in will display the corresponding contact details successfully.

Scenario A: Email exists in CRM → shows related contact/account data.

Scenario B: Email not found → shows message: “No matching contact found in this email thread.”

If the email addresses in the current thread do not match any existing contact in InsuredMine, the add-in will display the message:
 “No matching contact found in this email thread.”

This scenario occurs when the sender or recipient email address is not associated with any contact in the InsuredMine CRM.
 The add-in is designed to provide quick access to customer details from Outlook for users whose contacts already exist in the InsuredMine system.

For testing purposes, you can create or update a contact in InsuredMine as described in Scenario C.

Scenario C: Create or Update Contact: (For review purpose otherwise this will be created as per client there daily uses who uses InsuredMine CRM)

If it asks for the login type your credential.

A) Create Contact:

Click “Add Contact” (as shown in the screenshot), enter the required details, and click Save to create the contact.

Note: For testing purposes, please use the full name and email address from the current Outlook email thread (the “From” or “To” field) to ensure the add-in correctly retrieves and displays the email context details.

B) Update Contact
Click on any contact from the list that you want to edit. This will open the Contact 360 page displaying the full contact details.
Click the pencil (edit) icon (as shown in the screenshot) to edit the contact information.

Note: For testing purposes, update the name and email address to match the “From” email in the current Outlook email thread. This ensures that the add-in can correctly identify and display the contact details within Outlook.

Step 5 — AI Email Summary

  • The add-in generates an AI-powered summary of the email thread.

  • Highlights key points, decisions, and follow-ups.

Expected Result: Short summary text appears below CRM info.

Step 6 — View and Navigate CRM Data

  • If a match is found, related data is displayed (Contact Name, Associated Policies, Related Tasks or Deals).

  • Click “View in InsuredMine” to open the record in CRM.

Expected Result: Correct record opens in InsuredMine.

Step 7 — Logout

  • Click the Profile icon to open the navigation list, where you will find the Logout and Support options (as shown in the screenshot).
  • Click Logout to sign out of the add-in.

To hide the navigation list again, simply click the Profile icon once more.

Step 8 — Technical Support

For any technical issues or support-related assistance, please follow the steps below.

  • Click the Profile icon to open the navigation list, where you will find the Logout and Support options (as shown in the screenshot).
  • Click Support to get help through email, phone, chat, or support form.

 Getting started with InsuredMine has never been easier. In just seven simple steps, you can effortlessly create your profile, and then you’re ready to embark on your insurance journey.

There are certain steps that you need to follow to get started with insuredmine.

  1. Complete Profile
  2. Connect Work Email
  3. Connect Scheduler
  4. Verify Email
  5. Add Signature
  6. Configure texting and Calling
  7. Add Users

Step 1- Complete Profile

  • Upload your Profile photo.
  • Type in your full name, email address, full address, and phone number. 
  • Click to Save and Continue.

Step 2- Connect your work email

  • Link your email for seamless communication.
  • Choose any of your accounts that you like to connect and click on connect. For instance, I have chosen G Suite.
  • Click on Save & Continue.

Note: This email will be the email address that you use for marketing and even for your google calendar scheduling.

Now that your work email is connected , create a schedule via link.

  • Click on the Scheduler option.
  • Fill up the information in the Scheduling Page and then click Next.
  • Fill up the event booking details.
  • Then, click on Create.
  • Your next schedule will be created.

Step- 4 Verify Email

  • If your email has been verified, a tick mark will appear under verified; otherwise, click the verify email option.
  • In case you want to add additional email addresses such as support or help desk email id, that you have, you can type in too.
  • Click on Save and Continue.
  • Type in your name and email address.
  • Click on the verify email button.
  • In case you want to add additional email addresses such as support or help desk email id, that you have, you can type in too.
  • Click on save.

Step 5- Add Signature

To add a signature, you need to send an email from your account to signature@insuredmne.com with the signature that you want to get displayed from the insuredmine platform.

  • Check the box beside: I have sent the email.
  • Click on Save and Continue.

Step 6- Configure Texting and Calling

Enabling Texting and calling functionality within the platform is easy and simple:-

Just Follow these steps:

  • If you are having a Ringcentral Account:click the option: I have a RingCentral Account.
  • Fill in your RingCentral Number.
  • If you do not have a RingCentral account but wish to add a phone to your InsuredMine Account then select: I need a number with my area code.
  • Then, click on Save & Continue.
  • A ticket will then be raised related to the request.

Step 7: Add Users

Note: This step is available for Admin only.

  • Select the role: Admin, Manager, CSR, or Agent. For instance, in this example, we are choosing the role of Agent.
  • Fill in the other details – Full name, phone, Cell Phone and log in Email.
  • Click on Next.
  • Check the Producer box to give producer level access to the new user under admin view.
  • Click on Next.

Once done click on Save and finish.

If you want agents to have access to all the agency data, check the box beside All Agency Data Access.

  • Check the Producer box to give producer level access to the new user under admin view.
  • Click on Next.
  • You can choose to grant access either collectively for all items (Pipelines, workflow, checklist, Custom forms, and templates) or individually for each item to the new user.
  • Then click on Add Member.
  • You will get a success notification saying: Agent is added successfully.

Help your team adopt InsuredMine

For maximum success, we also recommend:

1. Answer “Why InsuredMine?”

Before inviting your team to InsuredMine, make sure you have a compelling reason for using it. To help you answer “why InsuredMine?” complete the following exercise.

Envision success

First, imagine your ideal world where your team is using InsuredMine, and what you’ll achieve. Ask:
  • What goals will InsuredMine help you achieve?
  • What will be possible in the future that isn’t now?

Identify pain points

Next, identify the pain points that brought you to InsuredMine in the first place that will resonate with your team.

This creates multiple problems –
1. They don’t talk to each other – Waste time entering same data in multiple places.
2. Its expensive. It can cost upwards to $300
per month per user, eating away at your profits.
3. Steep learning curves so they just give up.
Limited visibility leads to no accountability and things fall through the cracks People are afraid to hand things off because there is no accountability.Cant manage it. Opportunity and money falls through the cracks.

It’s impossible to segment and market to
their needs.		They are already buying auto from you, you don’t need to promote auto. Same is true with homes. The inability to segment, your clients and market to their unmet needs is costing you 30% of additional business potential.

4. Worst problem of all – business runs on data. When you have all these tools to maintain it becomes impossible to mine the data
Managing multiple vendors, tools and then making sure they all work well with each other. Also Data leakages due to too many individual tools to run your business.

Write your “Why InsuredMine” statement

Now you’re ready to draft a “Why InsuredMine” statement using this structure: “[Team/Organization name] uses InsuredMine to develop [these processes] to alleviate [these pain points] so that we can accomplish [these goals].” For example: As a sales team, we’re using InsuredMine to manage prospects in Lead Nurture & Sales Pipeline process to increase engagement with the prospect, collaborate with the inside sales teams so that we can have a better closing ratio, hit a sales goals.

Assemble your adoption alliance

Next, get a group of at least three people to form an “adoption alliance” consisting of the following roles:
  1. Convention-setter—Establishes basic rules about how you’ll use InsuredMine and answer questions teammates have along the way.
  2. Awareness-builder—Communicates the “Why InsuredMine” goal statement and helps the team feel bought in.
  3. Success-celebrator—Recognizes and celebrates wins throughout the process to keep the team motivated.

2. Discover your now

With a clear reason for why your team will use InsuredMine, now you can decide what process you want to try out first. A Process is a set of steps you take to get things done, like onboarding a client to working on his renewals. The process is all about micro activities being tracked and managed in a synchronous way to produce positive business outcomes. Mentioned below are 7 processes to build high-level agency activities for customer acquisition to retention:

The specific process you try depends on your team, but aim to pick something that is:

  • Collaborative, involving communication between multiple stakeholders
  • Specific with clear goals, deliverables, or a time-bound duration
  • Broken, creating confusion or missed goals for your team

Finally, lay the groundwork for future success by establishing your InsuredMine team structure. Generally, your team structure in InsuredMine should reflect your org chart.

3. Design your first Process

Make sure to survey your team about how long it currently takes them to complete work, where they’re getting stuck, and the problems they’d like to solve. That way, you can see InsuredMine’s impact and if it’s solving those problems.

Not sure where to start? Try starting with a email template.

Start collaborating

Invite a small group of teammates to play around with Insuredmine to get familiar with features and recommended best practices. InsuredMine is flexible, so don’t be afraid to try things even if it’s not “perfect.”

When you’re ready, invite your whole team and host an InsuredMine kickoff meeting to cover the information from step one and introduce them to InsuredMine and your first workflow.

4. Enable your team & celebrate wins

Share our “getting started” resources below to help teammates learn the basics:

  • Join an InsuredMine Basics Training Webinar (60 minutes) to work with a live trainer and get your questions answered with other customers.
  • Kick-off Deck – training session 1
  • Day 1 Checklist
  • List of Milestones that you can track based on your pain point
  • Bonus if you get stuck at a feature send an email to support.

Expect and embrace mistakes! Your convention-setter should constructively re-direct teammates when they forget about established conventions.

5. Get set up for future success

Once your team is up and running, continue enforcing your conventions and make InsuredMine the single source of truth for answering any questions related to the processes you’ve built. Some ideas to get you started:
  • Set up an InsuredMine Pipeline for questions and feedback and check it weekly and share it with the InsuredMine team as needed.
  • Celebrate your team’s early victories, big and small! Your success-celebrator might create incentives or celebration systems for learning and using InsuredMine.
  • Set up a safe space where people can play with features without fear that they’ll “break” something.
  • Try a “day without email challenge” to see if your team can go an entire day or week without sending any email to one another, opting for InsuredMine instead.
You’ll also want to create a plan for onboarding new teammates so they can get up to speed quickly.

6. Measure and expand use

After using InsuredMine for a month or two, reflect back on what you wrote in section one, and revisit the team baseline you surveyed them about in section two to see how you’re tracking. Ask your team:
  • Did we accomplish our original goal?
  • Are new processes running smoothly?
  • How long does it take to do the same work relative to before?
  • How effective is InsuredMine relative to our expectations? Has it solved the problems we hoped it would?
If you’ve been successful and completed your timeline, communicate your wins and progress to your executive sponsors and stakeholders. You can also start adding more processes, automation, and workflows to InsuredMine if you haven’t already.
