Form Notification for Representatives and Executives

This feature will help the Representatives and Executives to receive notification of the information shared by the customers via Forms that the agent had shared with them.

Note: This feature will be accessible when create deal card option will be disabled. This means the selected agent will get a notification when no deal card will be created for this form.

Note: The form notification feature is available for AMS360 users.

To view the enhancement:

Navigate to Forms
Click on Form List
Select the form and click on Form Settings
Click on Pipeline Settings
Do not enable create deal card option, as this feature is available for the forms for which no deal card will be created.
Select agents to get email notification on form submission.

Note: You can select multiple agents.

Select representative or executive or both to send email notification on form submission.
Click to save.
Click to copy the form tag and send it to the clients from whom you need to get the data.

Note: In case if no agent is selected in that case the notification will go to the logged-in agent account.

Once the customer will fill the form and submit the details, representatives or executives will be receiving the notification via email.

In case if the contact is not synced and if it is not associated with any representative or executive then the notification will log to the house account.

How can you set up another notification for an specific agent?

“If the pipeline setting is disabled, we get the option of a form tag, where we have the choice of selecting either a representative, an executive, or both to receive notifications after form submission. Additionally, in the ‘After Form Submission’ settings, you can select any agent who will also receive an email notification upon form submission.

Select any agent to send email notifications.
Click on Save.

Success Message:

After form submission this message will be shown.
Click Save.

Save Template:

Select the tempates to send as email to contact on form submission.
Click Save.

Redirect URL:

After form submission page will be redirected to the given URL.
Click Save.

Send Response to Contact:

After Form submission form response will be send to contact.
Click Save.

Send notification to contact after form submission.

Description – The feature will send an email notification to the contact and the response when a form is submitted.

Use Case – The contact can refer to the form submission if required anytime later.

Process–

Navigate to the Forms Module. Click on Forms List.

Note – You can add forms by changing the already built templates. Created forms will be visible under the Form List section.

Click on the three dots for the form you want to respond to the contact. Click on Form Automation.

Click on the Drop Down present along with After Form Submission. Select Send Response to Contact.

Toggle the button to Enable response to contact. Then, click on the Save button.

Navigate to the Contacts Module. Click on a contact, and add a deal.

Scroll down to view the Intake form and click on Add.

Select the form from the drop-down. Then, click on Import Intake Form.

The form is imported successfully. You can preview, edit and share the form.

The preview of the form looks like this.

Note- The available information will be auto-populated in the form preview.

Click on the Send Button to send the form to contact. You can send the form by email or text.

Note – If the form is sent by email. The contact email is auto-populated. If the form is sent by text, Contact’s Phone number is auto-populated to complete the task.

An email with the response will be sent to the email present in the selected contact.

Slack Notification Integration Use case

Through Slack notification, you can pass on the information of a new lead created through InsuredMine forms among your team members. This will help you have instant access to the information and be able to pass it to the whole team in one go!

Currently, this feature is applicable for Texan insurance.

Quick view of the process

Form Sent- Form Filled and Submitted- New Deal is Created- Integrate InsuredMine account and Slack through Zapier- Notification through Slack

To access this feature, you need to have Slack and InsuredMine integrated through Zapier.

Zapier Integration between IM and Slack

To view the Enhancement, navigate to Form Automation and enable the Create Deal card option under Pipeline Settings. This will help you automatically create a new deal card whenever a form will be submitted. Then you will need to select the Pipeline name and stage where you want the deal card to be created.

To check the elaborate process, verify:

Map Deal Card and Contact Items from the Form

Once a form is sent to a prospect and he/she submits the form with all data filled, the deal card will be created based on the data that will be fetched from the form.

Now to send the notification to your team through Slack for the new lead data that came into your CRM, you need to link Slack through Zapier.

The process to integrate Slack through Zapier:

Trigger: The source of information (New Deal Card in InsuredMine)

Select New Dealcard under Trigger Event

Select your InsuredMine account under Choose account

Set up the Trigger and select the Agent Role, and the Pipeline

Action: Where the information will be posted (Send channel message in Slack)

Choose the app as Slack
In Action Event, select Send Channel Message
In Choose Account, select the Slack account associated to you

In Set up action, select Zapier as channel
The Message Text will be displayed below
Select yes to send as a bot

Once complete, you will receive a notification saying a Channel message was sent to Slack.

The data from the new deal card will be broadcasted in your channel
