A new enhancement has been introduced in the eSignature module. Now, once an eSign document is completed, a task will be created.

Use Case: Suppose an agent sends a document for eSignature and If the task setting is enabled, After that when the client completes the signing process and when the eSign document is completed, then immediately a task will be created (e.g., follow-up call, policy update, or document review).

To View the Enhancement: 

• Navigate to the esignature 
• Click on the three dots
• Select Task settings

The Task Setting window will open (as shown below).

• Fill all the required field as mentioned below
• Click on Save

A pop-up message “eSignature settings updated successfully” will appear.

Sending a Document for eSign:

Click on Sign Document

You will be redirected to esignature> Add Document page

• Add a pdf file by clicking on the + Icon
• Click on Next

After the file uploads, you will be redirected to the details page.

• Fill in the required details as highlighted below
• Click on next

You will be redirected to esignature>Add Field

• Select the signature fields
• Click on  Next

You will be redirected to the esignature>Send page

Click on Send

You will be redirected to esignature page:

In the eSignature List, you can see the task title, document name, and other details.

To view the Added Tasklist:

• Navigate to the Tasklist
• View your added task based on the assigned priority (High, Medium, Low, Normal).

To improve document security and control over eSignature workflows, we’ve introduced a new feature that allows admins to restrict users from cancelling sent eSignature documents. This ensures that only authorized users have the ability to cancel a document once it has been sent for signature.

Use Case: With the new “Cancellation Restriction” feature:

• The Admin configures the settings so only the authorized users can cancel the eSignature documents.
• Users can still send and track eSiganture, but cannot cancel them unless permission is granted.
  
• If a document needs to be cancelled, it must go through the authorized person, adding a layer of verification and reducing errors.

To View The Enhancement:

• Navigate to the Settings Module
• Click on Configuration → Restrictions
  Within Settings, select Configuration, then go to the Restrictions.

Select Users to Restrict
In the Restrictions section, locate the “eSign Cancel” permission.
Select the users you want to restrict from cancelling documents and disable the toggle.

• Once you restrict the users from cancelling the document then they won’t get an option to cancel the eSignature Document.

Now, if you are sending an eSign document to a recipient and the status is ‘in progress,’ unless the recipient signs it, you will be able to access the option to edit in eSign. However, if the scenario is that there are multiple recipients and only one signs the document while others do not, then the edit option won’t be accessible.

Use Case: Flexibility to edit eSign documents in progress until fully signed.

To View the Enhancement:

• Click on any in-process Esign doc, then on the action button to access the edit option.

Let’s suppose the signer failed to sign the document, and in the meantime, you chose not to send it to the current signer.

To Edit:

• Now, click on the Action button to edit the signer’s name, email, and phone number, or you can choose to delete it and send it to a new signer, or else you can also add a different signer.

• After the agent edited the signer’s details and shared it with someone else, if the previous signer tries to access the doc, they’ll get an error message saying the link has been disabled.

Note: Suppose there is more than one recipient, and if one of the two signers has signed the document while the other hasn’t, you won’t be able to find the edit option in this scenario.

• If one of the two signers has signed the document while the other hasn’t, you won’t be able to find the cancel option in this scenario.

• You can view the status of the canceled document in the eSignature timeline as canceled.

While sending an eSign document to the signer, if a contact has multiple email addresses (e.g., personal or commercial), you can now choose any specific email address from the drop-down and send the eSign document.

Use Case: Select the best email while sending eSign docs for an easy, quick, and personalized approach, making communication smoother and more effective.

To view the enhancement:

• Navigate to the eSignature Module.
• Then, click on the ‘Sign Document’ button.

• Now, when sending the eSign doc to the signer, you can view multiple email addresses associated with the contact and send the document.

InsuredMine has made a change regarding who receives email notifications when clients successfully sign documents. Previously, these notifications were sent to the login agent’s email address, but now they will be sent to a custom email address set by the user.

To view the enhancement:

• Navigate to the E-sign module.
• Then, click on the 3 dots icon in the top right-side corner. 
• From the drop-down select “Sender Settings.”

• From the sender settings, choose ‘Custom Email Address’ and input the email address where you’d like to receive notifications for successful document signings.

• Notifications for both the initiation and successful completion of the signing doc will be sent to the specified custom email address.

Navigation –

• Navigate to the eSignature module. Click on Sign Document.
• Select a file. Click on Next.

 

• Add signers. Click on Next.

• Place fields where they are required. Click on Next.

• From the drop-down menu, choose the Policy number. Scroll down to select Send.

 

Note: The policies visible in the drop-down are the ones that have already been added to the corresponding contact sent for eSignature.

 

• You can track the documents sent for an eSign policy once the file has been sent for eSignature.

• Sign in to the AMS portal. Open the contact to whom the eSignature documents were sent.

• Go to the Activity section to view the eSign document

Use case – Easier for customers to notify the agent of errors and request for modification or if the client is unwilling to proceed to sign the document.

Process: 

• Navigate to the eSignature module.
• Click on Sign Document.

• Add the document and click on Send. 

• An email will be sent to the given email address.

• Click on the Review and Sign.
• In the document, the signee will find the option to Decline.
• Click on Decline.

• This action will bring up a window. Enter the Reason for declining and click on Decline.

• Select Timeline to see the status of the document. 
• The status will appear as Declined.

• Click on the Refresh button to view the Status of the eSignature.

Note:

• Once declined, the same link cannot be reused for eSignature.
• You would be required to resend the eSignature document to the customer.

Benefit – Agents can now sign and share documents that don’t necessarily need signatures from customers, such as benefits, guidelines, etc.

Process:

• Navigate to the eSignature module
• Click on Sign Document and upload the PDF.

• Select the checkbox “I’m the only signer” for documents that do not require eSign from the customer’s end.

• Selecting this option will remove the option to add Recipient details from the screen.
• Click on Next.

• Once you sign the document, click on Next. 

• You may either download the signed document offline into your PC and/or send it as an email to the client or others.
