The IM Agent Mobile App is a user-friendly, all-in-one platform designed to help agents manage daily activities anytime and anywhere. It allows users to track performance, stay updated with tasks and client interactions, and access essential modules such as Contacts, Accounts, Pipelines, Policies, and Performance Tracking – all from a single, clean, and easy-to-use interface.

Built for on-the-go usage, the IM Agent Mobile App helps agents manage activities, track performance, and stay updated from anywhere.

How to Use the App

Download the IM Agent App from the Play Store/App Store
After downloading, a Sign In pop-up appears.
Enter your email address and password.
Click Sign In.

Note: A pop-up appears asking: Allow IM Agent to send notifications so you never miss updates.

Dashboard Overview

Once logged in, you will land on the Dashboard, which provides a real-time snapshot of key metrics, including:

Number of Active Policies.
Premium Generated.
Revenue Performance.

At the top of the Dashboard:

Smart Search helps quickly find Contacts, Accounts, and Policies.
A dropdown allows selection between Accounts, Contacts, and Policies.
A Month selection option is also available for reviewing data of respective months.
Create an account or contact instantly by scanning a business card using the provided Scanning icon.

A Pipeline dropdown is also available, allowing users to switch between different pipelines quickly.

Daily Highlights Section

Swipe first left to view Daily Highlights, which shows key activities and pending actions:

Meetings Scheduled – Number of meetings scheduled
Task Due – Number of pending tasks
Pipeline Cards Due – Cards requiring follow-up
Policies Expiring – Number of policies expiring
Campaigns Scheduled – Planned marketing campaigns
To-do – Number of tasks added to the to-do list

Conclusion:
The Daily Highlights section helps prioritise daily work efficiently.

Activity Today Section

Swipe left again to view Activity Today, which shows daily interactions:

Files – Number of files accessed or added
Notes – Notes created or updated
Tasks – Tasks handled during the day
Emails – Sent or received
Texts – Messages exchanged
Calendar Events – Scheduled events

Conclusion:
The Activity Today section provides a detailed view of daily productivity and interactions.

Main Navigation Tabs:

At the bottom of the screen, you will find the main navigation tabs:

Today

Dashboard overview of daily activities and highlights.

Pipelines

Manage, view, and track sales progress
Select Private or Shared category
Choose the preferred pipeline
Click the + icon to create a new pipeline card
View complete pipeline card details.

Access, manage, and create contacts by using the +icon.
View contact types: Active, Prospect and Leads.

More:

Redirects users to the My Profile page, where they can access Tasklist, Policy, Set/Reset PIN, Support, and Logout options.

Tasklist:

Tasklist allows users to view and manage tasks under Pending and Done tabs, filter them by priority (High, Medium, Normal, Low, All), and create a new task using the + icon.

Policy:

Access, manage, and create policy using the + icon.
View policy category: Active, Expired, and Future.

Add Deal from Contact and Account List Page in Mobile App

With the new ‘Add Deal’ option in the Agent mobile app’s Contact and Account lists, adding deal details has never been easier. Agents can now easily create and manage deals directly from their mobile devices, enhancing productivity and ensuring no opportunity is missed.

Use Case: Quickly add and manage deals from Account and Contact lists on the Agent mobile app.

To View the Enhancement:

From the Account List:

Within Account details of the account, click on the ‘Add Deal.’

A new window will open where you need to add deal details.

Add CSR to the main Account page on the Mobile App

Once mapped, the Customer Service Representative (CSR) will be visible on the main account details page in the mobile app.

Use Case: Easily access CSR details directly from your account’s main page on our mobile app for streamlined assistance.

To View the Enhancement:

Simply navigate to the Account 360 page in the app to view the CSRs assigned to the account. They will now be visible alongside other account details.

Mobile App:

CSRs are now visible for the account within the mobile app.

Revenue and Premium fields in the Add Deal tab

When adding a deal on the InsuredMine portal, you can opt to input premium and revenue details. This functionality is now available on the InsuredMine mobile app as well.

Use Case: Whether you’re using the InsuredMine portal on your computer or the InsuredMine app on your phone, you can now easily include premium and revenue information for every deal you add.

Mobile App

Added Premium and Revenue will be added as quote and will be shown in added Quotes

Mandatory field handling for adding deals and contacts in the CRM App

Now, when you mark certain fields as mandatory for adding contacts or deals, those fields will be required in the CRM app as well.

Use Case: Enhanced data accuracy through mandatory fields for contacts and deals within the CRM web application and mobile app.

To View the Enhancement:

Adding Contact in IM Portal:

Go to the settings module.
Within settings, select mandatory fields.
When adding contact details, choose the fields you wish to make mandatory from InsuredMine. The changes will also reflect in the app.

Mobile App:

You’ll see the designated fields marked as mandatory, just like in the InsuredMine portal.

While Adding a Deal:

Go to the settings module.
Within settings, select mandatory fields.
When adding a deal, choose the fields you wish to make mandatory.

Mobile App:

The mentioned fields appear mandatory as shown in the above image.

IM Agent App – “Add task to calendar” Option

In our earlier version of the mobile application, the ‘Add task to calendar‘ option was not implemented. However, in the current version, you’ll now find this convenient option while creating a task.

Use Case: With the ‘Add task to calendar’ option in the mobile application, you can better manage your time by seamlessly incorporating tasks into your daily schedules.

To View the Enhancement:

Mobile App:

Open the mobile app.
When creating a task, look for the “Add task to calendar” option.
Click on it to seamlessly add the task to your calendar.

More Section- InsuredMine Agent Application

Under the More (3 dots) section, you will find My Profile, Task, Policy, Set/Reset PIN, Support, and Logou

Task

In the task section, there are 2 tabs- Pending and Done

Tasks are segregated based on the following parameters: Pending and Done. And once you select the task type, you can sort the tasks based on priority- All, High, Medium, Normal, and Low.

You can search any task by name by clicking on the search bar on top.

Each task will reflect done (green checkmark) or pending (red crossmark), task name, task type, priority, due date, the initial letter of the assignee name.

Filter in Tasks

Click on the filter icon to filter your tasks. You can filter the tasks based on Due Date, Created Date, Assignee Type, Status, Priority, Task Type and Pipeline.

For Status, select pending or done
For Pipeline, you can select from tasks related or not related to the pipeline cards
For Task Type, select from call, meeting, task, deadline, email, lunch, text message, and others

For Priority select from high, medium, normal, or low
For Assignee Type, select tasks assigned to me, others, and unassigned
Select the created date from the calendar
Select the due date from the calendar

How to update tasks?

Click on the task to navigate to the task page.

There will be 2 sections- Timeline & About

In the Timeline section, all the task-related updates will be visible.

You can mark the task as complete or pending from the drop-down menu provided on the top.

In the About section, you will find the task details such as, task title, account name, contact name, assignee, priority, task type, due date, and due time.

You can also update the task as required. Select the assignee, priority, task type from the drop-down section and click OK, once done. Select the due date and due time by clicking on the calendar icon. Once completed, click on close to exit the tab.

How to add a task?

Click on add sign
Select the template from the drop-down
Type the task title
Type the account name and contact name
Select the assignee, priority, task type from the drop-down menu
Select the due date and due time
Click on save

Policy

Policies are divided into 3 sections- Active, Expired, and Future.

The active policy shows the policies that are active. Expired policies are policies that have expired and with an X-date and future policies are policies that are yet to start.

How to view the detailed view of the policies and how to update them?

Click on any policy that you want to view. To update, select the insurance type, category, carrier, payment frequency from the drop-down menu and click ok. Type in the policy number, premium, and notes (if any).

To update the effective date and expiration date, click on the calendar icon and select the desired date and time. Once completed, click on save.

How to add a policy?

In the policy section, click on the add (+) icon. Select from the drop-down menu to add the insurance type, account name, category, carrier, and payment frequency. Click ok, once completed. Type in the contact name, email, mobile, policy number, premium, and notes. To update the effective date and expiration date click on the calendar icon and select the desired date and time. Once done, click on save.

How to Set/Reset PIN?

Navigate to the “More” (3-dots icon) section and select Set/Reset PIN. Enter the PIN and confirm. Click on submit.

Once you set your pin, the next time you log in, you will be redirected to enter the new pin.

How to access the support section?

In case you are stuck and need our assistance, navigate to the “More” (3-dots) section and click on > sign beside Support.

Type in the subject, category, and message. Then, choose file (if needed) and click on save

How to log out from the InsuredMine Agent App?

To log out, navigate to the “More” (3 dots) section and click on log out and confirm your action

Text- InsuredMine Agent App

How to view, edit or delete texts?

Tap on the text icon below to navigate to the Text section. To send a text message, type the phone number and message, click to add any file if required, and click send.

To view any messages, click on the text message from the list. This will direct you to the text page where you can place a call, send an email, or even send a text message with an attachment.

The closed message will be shown in bold and unread message will be flashing in the conversation list until the message is opened.

You can filter the closed and opened text messages by clicking on the filter icon.

To mark the message as unread or delete the message, hover over the message and slide from right to left.

Contacts- InsuredMine Agent App

The contacts section includes 2 tabs: Contacts and Accounts.

The contacts section will represent the following contact groups- All, Active, Inactive, Prospect, Lead, and other types too.

You can tap on any contact to view the contact details.

For instance, you can click on the search icon to search any contact or account by name.

How to add a contact?

Click on the add icon

Fill in the account type and contact name. If the account already exists, it will popup or you can click on create new.

Select the Contact Status, Date of Birth, Gender, Contact Number, Email Address, Rating, Tags, Full Address, Driving License, SSN Number, Lead Source, Referral Date, Method of Communication, Disposition, Description, Website, and Social Media details. Once completed, click on update.

Acvity in Contact

What activities can you perform in the Contact section?

Three functions are available under the activity category in the contact section:

Add Note
Add Files
Create Task

contact section, if the contact has a phone number or email, an email and phone icon will be visible and you will be able to place a call, send SMS/text, and send an email.

To add files:

Select file and fill in the file description. Click on save.

To add notes:

To create a note, add the note and click on save

To add a new task:

Click on the drop-down menu to select template
Type in the task title
Type in the account name and contact name
Select the assignee, priority, task type from the drop-down
Select the due date and time
Click on save

All the created tasks, deals, policies, notes, files, email, SMS will be visible in the activity section under contacts. You can tap on any item saved under task, deal, policy, note, file, email, or SMS to have a detailed view.

About section in Contacts

If you click on the about section in contacts, you will have the option to edit and update the detailed fields under contact.

Account InsuredMine Agent Mobile App

To view the account section, navigate to Contacts and click on the Account tab.

The accounts are segregated into six sections- All, Active, Prospect, Inactive, Others, Lead.

How to add an account?

To add an account, click on + add account sign. You will be navigated to the account page where you can fill in the details. If the account already exists, you will have the option to update the information. If it is a new account, then click on create new account, and you will have the option to save the account. Fill in the account type, name, status, phone, fax, email, website, address, notes, and click on save or update.

How to view an existing account?

Click on an account that you want to view. There will be 3 sections- contacts, policies, and deals. Click on any of the sections that you want to view.

You can make a call from your phone by clicking on contacts.

You can navigate to the Policies section to view the policies. To view any policies, click on any policy and you will be directed to the policy page.

Under the policy section, you can view and edit the policy details.

To view the deal, click on the deals section.

Under the deals section, you will be navigated to the deal page where you can mark the deal as won or lost and can even view the deal properties. You can add notes, send SMS, add files, tasks, place a call or send an email.

How to edit an existing account?

Click on an account that you want to edit. You will get the option to fill in the account type, account name, account status, business phone, phone, fax, email, website, DBA Name, no. of employees, gross sales, payroll, address, and notes.

Pipeline Manager- IM Agent App

The Pipelines section will show 2 boards- Personal and Private

Pipeline– Here you will find all the pipelines that the agent has created.

Stages– Once you select the board and the pipeline, you can find the stages under the pipeline.

How to add a deal card in the selected stage?

Navigate to pipeline manager
Select the stage
Click on the + sign
Select the deal type- Personal or Commercial
Select the deal board- Shared or Private
Type the contact name (If the name already exists then select the name that will pop up. If not, click on create new)
Select the assignee name, deal title, pipeline, stage, label, deal category, deal health, source, due date, expected closing date, description
Click on save

Note: Contact name, deal title, pipeline, and stage fields are mandatory.

What will be shown in the deal card display?

Once you select the pipeline, you will find the deal cards that are created in the pipeline. It will show the date, the number of days the card is staying in the particular stage, the total deal value, and a number of checklist items completed.

How to access the deal card?

To open the deal card, click on the red-colored arrow sign.

The deal card will have the following functionalities:

Add notes– To add notes, click on add notes icon > type the note > click on save
Send SMS– Click on send SMS > type in phone number > type in the message> Click the add file section to add a file > click on send
Add Files– Click on add files > select a file from your phone > fill in the file description> click on save.
Add Task– Click on add task > select template from the drop-down menu > Fill in the task title > select account name and contact name (if it is a new contact, you will need to create a new contact) > select assignee name from the drop-down > set the priority of the task (high, medium, or low)
Call– Click on the call icon
Email

Note:

For calls, the calls will be placed through your existing mobile number through which you will be accessing the application.

For email, you can send emails through the email id that you are accessing through your mobile.

The deal card will have 2 more sections: Timeline & About

Timeline– The timeline will include all the actions performed for the deal card

About – The about section will show the details which includes the contact name, assignee, deal title, label, deal health, source, due date, expected closing date, and description.

To update the assignee, label, deal health, and source, click on the drop-down menu and select the option you choose. Once completed, click on ok.

To update the due date and expected closing date, click on the calendar icon on the side and select the date. Click done, once completed.

How to mark a deal as won/lost?’

You have the option to mark the deal card as won or lost towards the top of the deal card.

How to mark the deal as WON?

To mark the deal as won, click on won and select the label from the drop-down menu. Then click to select the won date and fill in the description. Once completed, click on save.

How to mark a deal as LOST?

To mark the deal as lost, click on the lost icon and select the label and lost reason. Fill in the lost description. Then set the x-date, choose how many days before x-date you would like to set the reminder, and how many days before x-date you would like the deal card to open automatically.
